Your meetings stay yours.
By default, your audio never leaves your machine. Transcription is local. Summary is local. The cloud only sees what you explicitly share.
What we collect
By default, nothing. The app runs on your computer and stores your meetings on your computer. No recording, transcript, or summary is uploaded unless you opt in to a specific cloud feature.
If you create an account, we store your email address and your Notabium license key. That is what lets us verify Pro features without requiring you to be online.
If you enable anonymous usage analytics in Settings (off by default), we collect:
- App version, operating system, and CPU architecture
- Feature counters such as "recording started" and "summary generated"
- Never: transcript content, audio, meeting titles, or contacts
What the cloud features do
You can turn on three cloud features. Each is opt in, per feature, per meeting:
- Notabium Hosted summaries: the transcript text is sent to our API, which proxies it to Anthropic Claude. The summary returns and is stored locally. The transcript is not retained.
- Share links: when you click Share on a meeting, the video and transcript are uploaded to our storage and a public link is returned. You control expiry and password protection.
- Bot mode (Pro+): a recorder bot joins a meeting on your behalf. The bot is provided by Meeting Baas. The recording is copied to our storage when complete.
Cross device sync, also opt in, encrypts your data on your machine with a key derived from a passphrase you choose. We can never read the contents.

- Cloudflare: hosting for the API, storage, edge delivery, DNS, email forwarding
- Vercel: hosting for this website
- Anthropic: AI summary requests via Notabium Hosted, when you opt in
- Meeting Baas: bot infrastructure for Pro+ bot mode, when you schedule a bot
- Stripe: payment processing for paid plans
- Resend: transactional email (license keys, password resets)
- Plausible: privacy friendly website analytics (no cookies, no personal data)
- Supabase: encrypted blob storage for cross device sync, if you turn it on
Your rights
Notabium is designed for GDPR alignment by default. If you want to:
- See your data: open the app. Everything is in your local library. Cloud assets (share links, hosted summary credits) are visible in your account settings.
- Export your data: PDF, DOCX, Markdown, and SQLite export are all in the app.
- Delete everything: uninstall the app for local data; email hello@notabium.com to delete your cloud account.
- Request what we hold on you: email hello@notabium.com. We answer within 30 days.
Children
Notabium is not directed at children under 13. We do not knowingly collect personal data from them.
Changes to this policy
We will publish updates on this page and bump the date at the top. Material changes will also be emailed to active accounts.
